Position: Bookkeeping Assistant

Location: Madison, CT

Part-time Position: 12/hr wk

Position Summary:

The Bookkeeping Assistant performs a wide variety of clerical duties for multiple sites. The position works in a fast-paced environment. The Bookkeeping Assistant must exercise flexibility.

Essential duties include the data entry of invoices, billing for accounts receivable, sorting of mail (primarily invoices), receiving documents, etc

Responsibilities:

  1. Performs day-to-day bookkeeping functions; duties include but not limited to data entry, copying, filing, faxing, and answering phones.

  2. Enter invoices, credits, chargebacks, returns, and other input into the accounting system.

  3. Prepare and process accounts receivable statements for mailing.

Required Qualifications:

  1. Training and/or experience with QuickBooks (or similar) accounting software, MS Excel/Word. 

  2. Accurate and efficient data entry skills.

  3. Must be highly flexible; able to accommodate changing needs of the department.

Education and Experience:

  1. High school graduate or equivalent required.

  2. Basic or intermediate computer skills.

  3. Experience working with retail bookkeeping, but not required.

RJ Julia Booksellers

Position: Event Coordinator

Location: Madison, CT

Part-time Position: 20/hr wk

The primary objective of this position is to effectively coordinate and complete a variety of tasks related to RJ Julia events programming.

The RJ Julia Booksellers Event Coordinator will assist with management of RJ Julia's calendar of 250+ annual events, including promotion, and on-site supervision and execution of events both in the store and at off-site venues. 

Excellent communication and computer skills are required with an emphasis on highly effective communications with customers, publishers, authors and the media, as well as effective telephone and writing skills. 

The hours for this position are mostly in the afternoon/evening and some weekends and may vary week to week based on the event schedule.

Responsibilities:

  • Execute events in a style that provides a unique and enjoyable customer experience – to inspire loyalty and return visits from our current customers and attract new visitors to the store;
  • Develop and execute pre- and post-event activities and tasks (book lists, sales reports);
  • Oversee related in-store event merchandising;
  • Provide support for the production of the events calendar;
  • Draft communications to registered event attendees as needed;
  • Train, schedule, and oversee event staff;
  • Scheduling event staff.

Required Qualifications:

  • Previous event management experience required.
  • Public speaking experience.
  • Must bring a strong work ethic!
  • An energetic, outgoing candidate will thrive in this position.
  • Must be comfortable standing for long periods of time, lifting, and moving furniture.
  • Computer Skills: Applicants must be competent in Microsoft Word and Excel, Facebook and Twitter, and would ideally be familiar with Pinterest, Microsoft Publisher, and Photoshop/Photo Editing.
  • Writing Skills:  Composing press releases, draft letters to area organizations, create flyers, etc.
  • Multi-tasking: This position includes a variety of tasks, so being able to multi-task and to prioritize tasks is very important.

Position: Event Host - Per Diem

Location: Madison, CT

RJ Julia Booksellers is looking for an organized, responsible, creative and dynamic problem-solver to join our talented team of Event Hosts.

Event Hosts set up and host author readings/book signing for a variety of adult and children’s events.

This position is responsible for individual event management.  There are approximately 250+ events executed each year ranging from 15-1,000+ participants.

The hours for this position are mostly in the afternoon/evening and some weekends and may vary week to week based on the event schedule.

Responsibilities:

  • Execute events in a style that provides a unique and enjoyable customer experience – to inspire loyalty and return visits from our current customers and attract new visitors to the store;
  • Oversee all event set-up and breakdown (moving furniture, setting up folding chairs).
  • Welcome the author and guests as they arrive; introduce the author at the beginning of the event.
  • Manage the timeline of the event, oversee the book signing portion of the event.
  • Track book sales and attendance. Take photos for use on social media.

Required Qualifications:

  • Previous event management experience preferred.
  • Public speaking experience.
  • Must bring a strong work ethic!
